Section for Joint Affairs performs joint technical, organizational and other jobs for the needs of the City authorities related to: maintenance, management, security and protection of buildings, equipment and other property used by the City Administration, procurement of equipment, fixed assets and consumables, provision and maintenance of telecommunication and transport means, support and other joint affairs for the needs of the City Administration authorities placed in their scope of work.
The Section performs the following jobs:
- joint affairs related to investment and regular maintenance of buildings, equipment and devices in the City Administration and local communities;
- physical and technical security of the buildings;
- fire protection and occupational health;
- records of employees check in/out, records of movement of clients and other parties;
- control of taking in and out of materials, equipment and other assets;
- control of house rules in the City Administration premises;
- management of telephone call centre;
- preparation and serving of food, hot and cold beverages, in the restaurant for the employees, and other users;
- planning and organising usage, maintenance and registration of motor vehicles of the City Administration, tidying and maintenance of garages and parking space;
- preparation of norms and control of fuel and oil consumption, as well as planning procurement of motor vehicles, spare parts, fuel, oil and means of operation for the needs of vehicle fleet;
- transportation of people and things for the needs of the City Administration;
- approving the usage of vehicles by the employees of the City Administration and other users;
- keeping records of issued travel orders in the City Administration;
- cleaning and maintenance of hygiene in the official premises of the City authorities;
- procurement of fixed, current assets and consumables for the needs of the City authorities, City Administration, and other authorities and the union, after the completed public procurement procedure performed by the Section for Public Procurements, Investments and Supervision;
- issuing means from the warehouse according to verified and signed documents;
- keeping warehouse records;
- other jobs ordered by the Mayor, placed in their scope of work by documents issued by the City authorities.
In planning of work, and reporting in the scope of work, the Section performs the following jobs:
- prepares annual operational plan, in accordance with prescribed methodology, monitors its implementation, and submits periodical reports to the Mayor;
- collects statistical and other data, prepares various analyses, studies, reports and information within their scope of work and submits them to the competent city and other authorities;
- actively participates in the strategic planning of integrated development;
- participates in proposing and preparation of project proposals and project documentation, within their scope of work;
- performs other jobs ordered by the Mayor, and other jobs placed in their scope of work by special documents.
